Overseas Travel Risk Assessments

Travel for University Business

All travellers should complete the General Travel - Overseas Travel Risk Assessment form 2-4 weeks prior to departure, and submit via insurance@hud.ac.uk. Following review of the Overseas Travel Risk Assessment, travellers will receive an email confirming that University Insurance is in place for the dates requested.

Please note that authorisation to travel is granted by the relevant Manager, not the Insurance Team.  

Further information may be required in the following circumstances and as such travellers should contact insurance@hud.ac.uk at the earliest opportunity to allow sufficient time for consultation with the Insurers:

* The traveller has a pre-existing medical condition which may be affected by travel
* FCDO advises 'Against All Travel' or 'Against All but Essential Travel' to the destination or transit route
* The activity to be undertaken whilst overseas may be considered higher risk 

Student or Group Travel

University Employees accompanying any overseas Student/Group trips should complete the General Travel - Overseas Travel Risk Assessment as above. The Group Leader should collate the necessary information from Student travellers to complete the following Student Field Trip - Traveller Details. All details should be submitted via insurance@hud.ac.uk for review and confirmation of insurance coverage.

Where possible, overseas travel should be booked via the University's preferred Travel Management Company (TMC), Key Travel

Use of Peer-to-Peer Accommodation e.g. Airbnb, Vrbo etc

The University of Huddersfield does not endorse the use of peer-to-peer accommodation (such as Airbnb) by staff travelling on University business and our appointed Travel Management Company will not book these properties on our behalf.

When considering accommodation for trips abroad, we recommend using Key Travel as this supplier has been providing accommodation for this sector for a number of years, has been tested, audited for health and safety requirements, provides proof of relevant insurance requirements and is the University’s recommended Travel Management Company.

However, if you decide to make your own accommodation arrangements and are considering providers such as Airbnb, the University firmly advise that you carry out the appropriate due diligence checks on this accommodation to ensure it meets your requirements, has the necessary insurance in place in case something goes wrong, i.e. the property causes a personal injury to the person renting the property, the property has been double booked and is not available when you arrive etc
