Hotel accommodation

The Brussels Capital Region offers a wide range of accommodation options and this portal site lists several certified hotel accommodations within walking distance of the Egmont Palace.
It has been agreed with the hotels to offer a reduction, i.e. a % on the price displayed, as part of the activities organized by the FPS Foreign Affairs within the framework of the Belgian presidency, until June 30, 2024 , in case of reservation via the prescribed procedure.

A limited number of hotels within walking distance, which comply with applicable local directives regarding, among other things, certification and fire safety and which offer a reduction, i.e. a % on the displayed price, as part of the activities of the FPS Foreign Affairs of the Belgian Presidency, until June 30, 2024, if reserved according to the prescribed procedure.

No. It is only recommended to opt for accommodation with official recognition from the local government, and preferably to book the accommodation in question directly.

For each of the hotels offered, there is a “direct booking link” to the respective hotel, through which you can obtain a reduction on the displayed public price if you use the “discount code” provided (possibly automatically filled in).

The discount varies from 10% to 20%, depending on the hotel, day and time of booking, among others.

No. Only reservations made directly with the host, subject to using the “reduction code” indicated, entitle you to a reduction on the public price displayed (at the time of reservation).

No. Only reservations made directly with the host, subject to using the “reduction code” indicated, entitle you to a reduction on the public price displayed (at the time of reservation).

The rates offered are therefore always the best available at the time of booking, via all possible booking channels, for individuals.
The hotels have always committed to apply the reduction (%) to the prices publicly displayed on their own website.

Hotels located in close proximity to various meeting venues are expected to be in high demand. No pre-reservation has been made by the FPS Foreign Affairs (unless expressly mentioned in the invitation to delegations).
Rooms are available on a first come, first served basis.
It is therefore recommended to book as early as possible, under conditions allowing the possibility of adjusting an existing reservation if necessary.

On the one hand, the FPS Foreign Affairs has chosen to negotiate a discount (%) on the volatile prices displayed for hotels in the immediate vicinity of the Egmont Palace, in order to ensure availability at all times in these hotels at reduced prices.
On the other hand, each participant always has the possibility to opt for the type of room of their choice, including or excluding breakfast, etc. in conditions that correspond to his expectations.

The FPS Foreign Affairs has obtained the best conditions for individual participants in the various FPS Foreign Affairs meetings by booking directly with the hotels concerned. Unnecessary costs were thus avoided.
This also allows each participant to opt for the room type of their choice, including or excluding breakfast, etc. in conditions that meet his expectations.

The FPS Foreign Affairs has chosen to set up a collaboration with a private partner who has no interest in recommending this or that hotel to the individual partner, nor in charging fees to the individual participant for this advice.

Different hotels offer rooms adapted for people with reduced mobility, but the degree of accessibility with or without a wheelchair varies. We always recommend contacting the hotel or hotel reception for advice to ensure a worry-free stay.

In addition, you can always contact https://handy.brussels/nl/ : the Brussels travel guide for disabled travelers.

For each of the hotels offered, there is a “direct booking link” to the respective hotel, through which you can obtain a reduction on the displayed public price if you use the “discount code” provided (possibly automatically filled in).
The discount code shown is the only correct code for the Belgian Presidency and cannot be combined with other preferential rates or possible discounts and is not available through booking channels other than those directly from the hotel.

There are no discounts or pre-bookings.

The majority of hotel websites allow you to reserve several rooms via a single reservation search for the same stay.
From more than 8 rooms per stay it is possible that the general conditions of sale which apply to group reservations apply (including adapted cancellation conditions, payment conditions).

For a possible reservation of more than 8 (eight) rooms per stay, we advise you to contact the hotel desk: +32470704173 or by email help@hotel2024.eu

A credit card guarantee is requested by each hotel when booking online, via a secure link (PCI Compliant).
Payment must be made on site, unless you have opted for a “non-modifiable, non-cancellable” reservation for which the hotel requires prepayment.

Any stay booked via the “direct booking link” offered on the hotel website must be paid for on site, at the hotel, during the stay, unless you have opted for a “non-modifiable, non-cancellable” reservation. for which the hotel requires prepayment.

Each hotel issues a stay invoice, on behalf of the guest, before departure from the hotel, and offers the possibility to review and/or refine the billing address upon arrival and/or during the stay with the individual customer with the desired address. details.

Each invoice contains the necessary tax information. VAT and tourist tax must be paid each time.

Any stay booked via the “direct booking link” offered on the hotel's website is not subject to any additional fees, either by the FPS Foreign Affairs or by the private support provider.

If you book early, it is possible to confirm a stay by paying in advance (100%). For this purpose, the hotel must be contacted individually to obtain a pro forma invoice, which must be paid before the start of the stay (acknowledgment of receipt by the hotel).

Payments by check or cash are not possible.

A “non-modifiable, non-cancellable” reservation is a reservation option offered by different hotels which no longer offers you the possibility of modifying it after reservation: neither the dates of stay, nor the clients, nor the type of room, etc. often subject to 100% prepayment, by credit card, at the end of the booking process.
Such a reservation cannot therefore be modified under any circumstances, neither by the Belgian Presidency nor by the supporting private service partner in this case.

A reservation with a “minimum stay” can only be changed to a limited extent. The final stay must always include the proposed minimum stay of x-nights, on a predetermined number of dates.
Such a restriction cannot under any circumstances be adapted, neither by the Belgian Presidency nor by the supporting private service partner in this case.

At the end of the booking process, the hotel in question always sends a detailed confirmation including, among other things, the general conditions (including cancellation conditions), as well as the hotel's contact details.
An existing reservation must always be amended in writing in order to change the contractual relationship between the individual guest and the hotel.
Hotel contact details can be found at the bottom of each booking confirmation. Any changes made over the phone will neither be accepted nor considered valid.

At the end of the booking process, the hotel in question always sends a detailed confirmation including, among other things, the general conditions (including cancellation conditions), as well as the hotel's contact details.

You must contact the hotel directly to cancel an existing reservation. Cancellation of an existing reservation must always be made in writing to the hotel. The hotel must confirm this request, the cancellation, in a written return for approval.
Any cancellation by telephone will neither be accepted nor considered valid.

Different formulas - with or without breakfast - are offered during the reservation process, on the hotel's website. So there is no general rule, but there is an individual option.
Breakfast can - if not confirmed when booking - always be obtained at the price displayed in the hotel's breakfast room.

The applicable VAT rate for room and breakfast is 6%. The prices offered are always presented inclusively on the hotel's website and during the booking process.
The applicable tourist tax for the Brussels-Capital Region is 4.24 EUR per room per night, VAT included, payable during the stay at the hotel.

In order to meet the diversity of expectations, the FPS Foreign Affairs and the Belgian Presidency have opted for hotels to offer all possible types of available rooms, including the negotiated discount (%).
We inform you that – in the Brussels-Capital Region – a twin room is equipped with two single beds and a triple room is not necessarily equipped with three single beds, often with a double bed and a third temporary bed.

This possibility exists. During the reservation process, you must opt for a “twin room”, always equipped with two single beds, which can accommodate a maximum of two people.

It is recommended to always contact the hotel regarding this matter. A triple room, equipped to accommodate three people, is not necessarily equipped with three single beds, often a double bed and a third temporary bed.

The general and special conditions are always displayed on the hotel's website during the reservation process. These are also shown in detail at the bottom of each confirmation, which you receive at the end of the booking process.

There are no general and/or terms and conditions for all hotels and, by extension, accommodation providers.

Any special wishes can be included during the booking process, in the text field provided for this purpose. Where possible the hotel tries to take this into account, but there are no guarantees on this matter.
Advice? Problems ? Do not hesitate to contact the hotel desk: +32470704173 or by email help@hotel2024.eu

Reservations via any other channel are the responsibility of each participant.
